How Certalot Uses AI

The short version

Certalot uses AI to read your supply-chain documents so you don't have to re-type them. You review every extracted field and confirm before anything becomes a record. The AI never writes a record on its own, and it never files anything with a regulator: you generate reports and hand them over yourself.

What AI does

Smart Import: when you upload a photo, PDF, or spreadsheet, AI extracts the traceability fields (event type, product, quantity, lot code, dates) and returns them with a confidence score per field. Green means high confidence, amber and red mean look closely.

Spreadsheets are converted to text on our servers first; the raw file is not sent to the AI provider.

What AI deliberately does not do: it never extracts livestock RFID tag numbers, biometric identifiers, or CCIA premises IDs (those come only from verified lookups), and it is not used in the supplier portal, which is a plain form.

Whose AI, and where your documents go

Smart Import is powered by Anthropic's Claude models, called from our servers only. When you use it, the document photo or PDF (or the text extracted from your spreadsheet) is sent to Anthropic for processing in the United States. Your content is not used to train AI models.

Everything at rest stays in Canada: your records, documents, and account data are stored in Montréal (Supabase, ca-central-1). The United States processing applies to the moment of AI inference only.

Your role

Every extraction lands on a review screen with the original document beside the extracted fields. You fix anything amber or red, then choose Confirm & save record. Nothing enters your traceability records without that step: this is a design constraint, not a courtesy. Certalot never makes automated decisions about your compliance; it drafts, you decide.
